Managing Duplicate Contacts
In order to eliminate duplicate contacts from your database you have to 1) Identify duplicate contacts, and 2) Merge duplicate contacts into one contact.
I – Check for Duplicates – Run this wizard to identify duplicate contacts. This will separate your duplicate contacts and put them in a new folder.
1 – Click on Tools -> Check for Duplicates
2 – Select your options to search the duplicates from your database at the pop-up window as below. The most commonly used is the first option where you can search your duplicate contacts by first name, last name, and company name match.
3 – Once done the duplicate contact will be put into a new folder, as per the screen shot below, the new folder is “Duplicates Found 12/27/2005”.
II - The next step is to merge duplicate contacts into one
1 – Locate the folder “Duplicates found 12/27/2005”
2 – In order to merge the duplicate contacts, sort column “Contact Name”.
3 – Click on Tools -> Merge Contacts
4 – Click on Select to select the First Contact, search the contacts from folder “Duplicates Found 12/27/2005”. Important note – the contact you select for First Contact will no longer be available. So make sure you select appropriate contact here. Repeat process for Second Contact
5 – Once First Contact and Second Contact is selected, search the criteria to merge information, Merge Contact information for both contacts, or, Do not merge contact information, or, Ask Me then click on Merge Contacts
